The honest summary
Drive and iCloud backup are a restore mechanism, not an archive
They exist so a new phone can be made to look like the old one. That is genuinely useful and everyone should have it switched on. But the backup is a sealed blob: you cannot open it, browse it, or pull one photograph out of it. It only mirrors the current state, so a photo deleted last month is gone from the backup too. And "include videos" is the first setting people turn off when the free tier fills.
Export chat is a snapshot you take once and never open again
It is the right tool for handing one conversation to a solicitor. It is the wrong tool for an archive: it caps the media it includes, must be repeated per conversation by hand, and produces a zip that gets buried in Downloads.
Save to gallery only keeps what your phone chose to download
Auto-download is off on mobile data for most people, so the video someone sent while you were out is a placeholder that eventually expires. And it fills the phone, which leads directly to the "free up space" prompt that deletes the lot.
WhatsBackUp covers a different failure — and has its own
It protects against the quiet losses: media WhatsApp deletes from its servers, a restore that skips your videos, one careless tap, a phone that dies before the next backup ran. What you get is ordinary files on your own disk that keep working whether or not WhatsApp, your phone, or this project still exists.
Where it loses, plainly:
- It is unofficial. WhatsApp's terms don't permit third-party clients and there is a small but real chance of an account being limited. The other three carry no such risk.
- It only captures while running. Close it for a fortnight and that fortnight isn't archived at the time — though Import history can usually collect it afterwards.
- It needs a Windows PC. No Mac, Linux or mobile version.
- It does not restore into WhatsApp. It is an archive you read, not a backup you put back.
So which should you use?
Both. Keep Drive or iCloud backup switched on — that is your "new phone works" insurance and nothing here replaces it. Add WhatsBackUp if the photographs themselves matter: the delivery proof, the damaged part, the signed page, the pictures of the children that only ever existed inside a chat.
They fail in different ways. That is exactly why having both is worth five minutes.
